THE CHALLENGE
Quovadis manages participant recruitment for high-quality test-studio research. Their previous setup combined Excel and Access databases (“complex and laborious”) with a bespoke database that, in Markus's words, “couldn't fully satisfy”. As the company grew, the existing software proved too rigid for the new structure.
The brief was clear: a participant database that flexes with the business, integrates with existing systems, and supports the increasingly small and specific target groups today's market researchers demand.
THE APPROACH
run-e built SampleMaker, a dynamic participant database that lets Quovadis define information criteria for each test person individually and reshape the data structure on demand. Unlike its predecessors, SampleMaker is not rigid: data fields can be added or trimmed as needed, and complex nested sample draws are handled across the entire dataset. The web-capable software lets users access results on-site or remotely, and existing data can be ingested via a configurable import/export interface - no big-bang migration required.
THE OUTCOME
• No data lost on switchover. All existing records were imported into the new database. This saved a lot of time and nerves.
• Studio expansion absorbed effortlessly. Opening Quovadis-Studio Munich in 2009 - a structural change that would normally strain a participant database - was handled with ease.
• Quality guaranteed end-to-end. The recruitment module ties selection, research, outreach and check-in into one process-integrated database, with quality controls baked in at every stage.
• Multiple databases run in parallel. Several studios, several target-group cohorts, one platform.
Quovadis recruits participants in their own modern call-centre rather than buying contacts in - a quality stance SampleMaker is designed to support. The recruitment module has already proven itself in practice.
