Precise interviewers payment

Punctual and precise interviewers payment is one of the biggest challenges for market research data collection companies. Hence, it is crucial to focus on its implementation. Late payments often lead to a liquidity problem and interviewers start looking for jobs at more reliable companies. On the other hand, even small differences to the expected amount and interviewers questioning the truthfulness of the calculation and the payment. Getting back their full trust is hard work. In the end not having a punctual and precise interviewers payment in place will lead to higher staff fluctuation and thus strengthen competitors who care more about the payroll process.

Globally, different models are in place for calculating interviewer salaries. Mostly the procedure depends on the project and client structure (which influences interviewer skills), the location (rules and laws) and the company culture. The calculation effort increases with the complexity of the model in use.

Consequently, the following summary gives a good impression what calculation methods usually are in place. Normally, workflows need a higher manual effort when getting more complex.

Freelance interviewers and agency work

Interviewers working on a freelance basis or are with an agency can work for different companies at the same time. Thus, their availability is more flexible when in need of filling shifts. Freelance interviewers often get paid by one of the following models:

  • Completes
  • Call Outcome / Result Code / Tip Code / Disposition Code
  • Net working time (time on the phone)
  • Net working time and completes (or further call outcomes) combined
  • Expenses (bonus, incentives, downtime, …)

Besides this, a punctual and precise interviewers payment can be assured by creating automatic workflows. Therefore, having a scheduled electronic bank transfer in place which transfers the funds directly via a software system which controls time stamps and CATI results (if using a more complex payment model) seems to be a good idea.

Contracted interviewers (casual, part time or full time) without work time account

Periodical arising market and project risks often can be balanced out by scheduling in freelancers or agent interviewers. However, contracted interviewers are a good choice as a base for more predictable periods. However, this potentially comes with higher costs as well. Typically, contracted interviewers get paid their unproductive hours too which easily can reach 25% of their work time. This includes breaks, time other than spent on the phone as well as holiday compensation and others.

  • Working time (with or without breaks)
  • Working time and completes (or further call outcomes) combined
  • Expenses (bonus, incentives, downtime, …)
  • Holiday compensation

The salary of contracted interviewers however, differs from the freelance agents due to government laws additionally. Further costs add up or fees will be deducted. Thus, the salary needs to run through an additional process of calculations. Nevertheless, a punctual and precise interviewers payment is essential as the tax departments often add a surcharge for late reports. However, depending on the chosen model, the calculation and funds transfer is either done within one software tool (as SAGE for example) or split into two processes. One software can calculate complex algorithms for the earnings and, via interface, the second one then can report to the tax department and transfer the funds.

Contracted interviewers (casual, part time or full time) with work time account

Opposite to the above described models, working with work time accounts requires a continuously update of worked and paid interviewer hours. Whereas simply worked hours/completes/etc. could be paid in all the other models, the salary of each interviewer remains constant herewith. In the end an interviewer could even run into debts in periods with less work. Interviewers with work time account get paid often by one of the following methods:

  • Working time (with or without breaks)
  • Expenses (bonus, incentives, downtime, …)
  • Holiday compensation

A punctual and precise interviewers payment for this model can be implemented similar to the above described model. Thus, depending on the chosen model, the calculation and funds transfer is either done within one software tool (as SAGE for example) or split into two processes. One software can calculate complex algorithms for the earnings and, via interface, the second one then can report to the tax department and transfer the funds. However, an additional check is necessary to maintain the work time account.

Punctual and precise interviewers payment

For our clients we implemented an efficient payroll process for all kind of interviewers in the fieldwork management software MR Orga Suite. Consequently the calculations, especially with one of the available CATI interfaces, can run in seconds and thus, interviewers receive their payments punctually and accurately.
